Signing a PDF used to mean printing it, scribbling on the last page, scanning it back in, and emailing a slightly crooked image of a contract. Nobody misses that. But the modern replacement raises a fair question: when you sign a document "online," where does that document go, and can you trust the tool with it? A signature usually sits on something you care about: a lease, an offer letter, an NDA, a consent form. This guide covers the basics of electronic signatures and, just as importantly, how to add yours without handing a private document to a stranger's server.

Two things people call a "signature"

The word signature hides two very different technologies, and knowing which one you need saves a lot of confusion.

An electronic signature (the drawn or typed mark)

This is what most people mean day to day: a visible mark placed on the page. You draw your name with a trackpad or finger, type it in a signature font, or drop in an image of your handwritten signature. It shows intent to agree, the digital equivalent of ink on paper. For the overwhelming majority of everyday agreements, this is legally sufficient in most jurisdictions, thanks to laws like the U.S. ESIGN Act and the EU's eIDAS regulation, which give electronic signatures the same standing as handwritten ones for ordinary transactions.

A digital signature (the cryptographic kind)

This is a stricter, invisible layer. A digital signature uses a cryptographic certificate to bind the signature to the exact contents of the file. If a single byte of the document changes after signing, the signature breaks and any reader can see it's been tampered with. This is what banks, governments, and enterprise workflows use when they need to prove who signed and that nothing was altered. It requires a certificate from a trusted authority, which is why it's overkill for signing a rental agreement between two people.

Most online signing tasks, and everything this guide focuses on, are the first kind: placing a clear, intentional mark on the page.

The privacy problem hiding in "sign online"

Here's the part nobody advertises. Many free "sign a PDF" websites work by uploading your entire document to their server, rendering it there, letting you place a signature, and sending it back. That means your unsigned and signed contract passed through (and may have been briefly stored on) a machine you don't control. For a document that exists precisely because it's sensitive, that's a strange trade.

In practice, signing a PDF doesn't actually require a server. A modern browser can open a PDF, let you draw or place a signature, flatten it onto the page, and save the result, all locally, in the tab that's already open. How to sign a PDF online, step by step

The exact buttons vary by tool, but a safe, browser-based flow looks like this:

  1. Open the document. Drag your PDF onto the tool. In a client-side tool, this reads the file locally. No upload bar that ships it to a server.
  2. Create your signature. Draw it with a mouse, trackpad, or touchscreen. Type it and pick a handwriting-style font, or upload a transparent PNG of your real signature if you have one.
  3. Place and size it. Drop the signature onto the signature line, then drag to resize so it sits naturally rather than swallowing the whole page.
  4. Add the extras. Many agreements also need a printed name, a date, or initials on each page. Add those as text where required.
  5. Flatten and download. Saving merges the signature into the page so it can't be dragged off later, and the finished PDF lands in your downloads.

Making your signed document actually hard to tamper with

A flattened drawn signature is fine for most purposes, but if you want more assurance the signed version can't be quietly edited, you have two practical options:

  • Set a password or restrict editing. After signing, you can protect the PDF so it can't be opened or modified without a password. This raises the bar for casual tampering.
  • Send a flattened copy, not an editable one. Flattening (step 5 above) turns the signature and any typed fields into part of the page image, so a recipient can't simply select and delete your mark.

Neither of these is the same as a certificate-based digital signature, and it's honest to say so. If a counterparty legally requires a verifiable cryptographic signature, common in regulated finance or government filings, you'll need a certificate-based service, not a drawn mark. For normal agreements between reasonable parties, a clear signature plus a flattened, optionally password-protected file is exactly what people have accepted for years.

A quick checklist before you send

  • Is the whole document there? Signing the last page is meaningless if a middle page changed. Skim the full file first.
  • Did you fill every required field? Missing initials or a blank date is the most common reason a signed PDF gets bounced back.
  • Is your name legible somewhere in print? A stylized signature plus a typed name removes any doubt about who signed.
  • Did the file stay on your device? If you used a browser tool, you can confirm this: open developer tools (F12), watch the Network tab while you sign, and check that your document's contents were never uploaded.

Be picky about where you sign

Signing a PDF online is genuinely easy and, done right, genuinely private. For everyday agreements, a drawn or typed electronic signature is legally recognized and perfectly sufficient. You rarely need the cryptographic heavyweight version. The one thing worth being picky about is where the signing happens. Choose a tool that does the work in your browser so your contract never leaves your machine.
