How to Prepare a PDF for Printing: Size, Bleed and Compression

A PDF that looks flawless on your laptop can come back from the print shop with cut-off edges, thin white strips down one side, or text that's suddenly fuzzy. The screen is forgiving. A printing press is not. In practice, almost every print problem traces back to three things you can check before you send the file: the page size, the bleed, and how the PDF was compressed. Get those right and you avoid the awkward reprint (and the second invoice).

This guide walks through each one in plain language, with a checklist you can run in a few minutes.

Start with the page size and orientation

The single most common print mistake is a mismatched page size. If your document is set to US Letter (8.5 × 11 in) but the printer expects A4 (210 × 297 mm), the machine will either scale your page, shifting every margin, or crop it. Neither is what you designed.

Before anything else, confirm the intended finished size:

  • A4 (210 × 297 mm): standard documents, most of the world
  • US Letter (8.5 × 11 in), standard documents, North America
  • A5 (148 × 210 mm), flyers, booklets, half-page handouts
  • A3 (297 × 420 mm), posters, large charts
  • DL (99 × 210 mm), leaflets that fold into an envelope

Open your PDF and check the page dimensions in the document properties of your reader. If they don't match the size the printer asked for, fix it in the original design file and re-export, resizing a finished PDF by scaling usually softens text and throws off margins.

Orientation matters too. Pages should already sit the right way up in the file. If a page was scanned or exported sideways, don't rely on your viewer's rotate button. That often only turns the page on screen and reverts when someone else opens it. Instead, rotate the PDF so the correct orientation is baked into the document. A page that prints upside down because the rotation never saved is a classic, avoidable reprint.

Understand bleed (and why edge-to-edge design needs it)

Bleed is extra image or colour that extends past the final trimmed edge of the page. It exists because no cutting machine is perfect: blades drift by a fraction of a millimetre. If your background colour or photo stops exactly at the page edge, any tiny cutting shift leaves a sliver of unprinted white paper showing.

The fix is to extend anything that touches the edge slightly beyond it, so that when the trim lands a hair off, it still lands inside your artwork.

A few rules of thumb:

  • If your design has white margins on every side (like a normal letter or report), you don't need bleed at all, nothing reaches the edge, so a slight cut shift is invisible.
  • If you have any colour, photo or graphic touching the edge, add roughly 3 mm of bleed on that side. This has to be done in the design software (Canva, InDesign, Word with a full-bleed setup) before you export the PDF. You can't add real bleed to a finished PDF.
  • Keep important content (text, logos, faces, page numbers) at least 3–5 mm away from the trim so nothing critical gets clipped.

Always ask your printer what bleed and margin they want. A shop-specified value beats any generic number.

Compress without ruining print quality

Print files can get heavy fast, especially with full-page photos. But print is exactly where careless compression shows up worst: banding in skies, blocky shadows, mushy text. The trick is to shrink the file around the parts that matter, not through them.

How to do it to keep quality where it counts:

  • Resolution is the ceiling, not compression. Print generally wants images at around 300 DPI (dots per inch) at their final printed size. A photo that looks crisp on screen at 72 DPI can look soft in print. Compression can't add detail that was never there, so start from good source images.
  • Compress the PDF, don't re-flatten your artwork. When your file is print-ready but simply too large to upload or email, compress the PDF to trim the file size. Because everything runs in your browser and nothing is uploaded, you can test a setting, check the result, and try again without any file leaving your device.
  • Do a real quality check after compressing. Zoom to 100% and inspect edges of text, gradients, and skin tones. If you see blocking or fuzziness, use a lighter compression level. A slightly larger file that prints cleanly beats a tiny file that prints badly.
  • Ask about the file-size limit. Many print portals cap uploads (often 25–100 MB). Compress to comfortably under the limit rather than right at it.

If you only need to send a proof for someone to approve (not the final print file) a lighter, screen-resolution version is fine. In that case you can also export the PDF pages as JPG images to share a quick visual preview by message or email, then send the full-resolution PDF once the design is signed off.

Assembling a multi-page print job

For booklets, brochures or any job made of separate files, printers usually want one PDF in the correct reading order. Not a folder of loose pages. If your cover, inside pages and back cover are separate exports, merge the PDFs into a single document, in order, before sending. This also prevents pages arriving in the wrong sequence or getting lost.

A quick order check before you merge: cover first, then interior pages front-to-back, then any back cover. Open the combined file and page through it once: it's far cheaper to catch a swapped page on screen than on paper.

The pre-flight checklist

Run through this before you hit send:

  1. Page size matches what the printer asked for (A4, Letter, etc.).
  2. Orientation is correct and saved into the file, not just rotated in your viewer.
  3. Bleed is present (about 3 mm) if any artwork touches the edge. Skip it if you have clean white margins.
  4. Safe zone: nothing important sits within 3–5 mm of the trim.
  5. Image resolution is roughly 300 DPI at final print size.
  6. File size is under the printer's upload limit, compressed only as much as quality allows.
  7. Multi-part jobs are merged into one correctly ordered PDF.
  8. Final visual pass: page through the whole file at 100% zoom.

An honest note on browser-based tools
